SpeakWrite has built a number of tools which you may use to help our typists complete your work to your exact specifications. While you are always welcome to add oral instructions at any point in your dictation, these tools can help further customize your account to your specific preferences, using standard forms, recurring addresses and commonly used words. These allow typists to access your specific preferences when completing your documents.
Word List
SpeakWrite allows you to build and maintain a personal 'Word List' of words, phrases or names that may not be familiar to our typists, allowing you to avoid spelling words repeatedly in your dictations. For example, you may commonly reference a difficult last name in your dictation work. To avoid spelling it each time, simply add it to your personal Word List and during your dictation when you dictate the name say "Please reference my word list". This will indicate to the typist that they need to refer to your custom Word List in order to accurately complete your work.
You may access your Word List at any time by logging into your account. There you are able to add or delete words and keep your list current. You may also request that a typist add items to your word list at any time during dictation by stating "Please add this word to my word list; S-M-I-T-H".
Templates
To expedite your work and make your efforts more efficient, you can upload 'forms' or preformatted documents into your account from the SpeakWrite website, then incorporate these forms by referencing them in a dictation. Templates are uploaded, managed, and referenced by you at your discretion. The number of templates you may upload and frequency of use is unlimited. Examples of templates are standard forms, letterhead, or documents that have formatting requirements such as the margin width.
You may upload templates, or 'form' documents, to be used by our typists as a reference in completing your work. These templates can be used to establish formatting, including layout, font, spacing, etc. You may upload as many templates as you like, with no charge, and manage them at your own convenience. Once you have uploaded your templates, simply reference them in your dictation stating "Please use my _________ template for this job". It is important that you specifically request a 'template' to avoid our typists confusing this request with an instruction to your in-house staff.
(Note: Templates should be in Microsoft® Word or WordPerfect format. At this time we cannot use templates with a numbered 'pleading paper' format or Word documents with a ‘.dot’ extension.)
To upload a template:
Log in at www.speakwrite.com/login and choose the 'Templates' tab.
Address Book
Your account also includes a standard 'Address Book' feature. Input addresses individually or use our Address Book upload feature to incorporate all of your Outlook contacts. In addition to adding addresses, you may also edit and delete any entry. During dictation, reference specific entries from your Address Book to ensure accuracy and consistency of information. Maintaining an Address Book over time can increase your rate of dictation and the quality of your returned documents.
Custom Filenames
When dictating a job, you can assign it a 'Custom Filename'. Then when your completed job is delivered to your email inbox it will have the easily recognizable name which you assigned to it, so that you will not need to keep track of our automatically assigned job number. Just state, at the beginning of your dictation, "Please give this job Custom Filename __________________".
If you are uploading digital files via the SpeakWrite website, enter the 'Custom Filename' in the designated field.
Job Tracking
You can log in at www.speakwrite.com/login to manage your current dictations. Submitted jobs are added to your Job Status list and remain available for up to 90 days. During that period you may listen to, retrieve, view, or forward a job. Use your Job Status list as electronic storage for replacing lost documents or resending email.
Billing Codes
Once you set up an account, you will be able to create specific billing codes so that you can track which jobs relate to which clients and better track your own expenses.
Customer Comments and Feedback
As a part of each completed job delivery email from SpeakWrite, you have the opportunity to 'comment' on that job or the quality of the service you have been receiving. Via this 'Feedback' box you can bring whatever information, complaint, observation, idea, etc. to the attention of SpeakWrite Management. Feedback is always reviewed immediately and any action required is initiated.
Preferences
By accessing your account information on your Personal Page via the 'LOGIN' link on the SpeakWrite website, you can change billing information, document preparation preferences, document email delivery addresses and various other particulars regarding your account. SpeakWrite Customer Support is also available to help you with any of these matters, but you can also make the changes yourself at this site.
