FAX in Handwritten or Existing Documents for Transcription

You may fax in handwritten or existing work to be transcribed. To do this simply dial the same toll free dictation number from your FAX telephone, and follow the instructions there on how to send a FAX for transmission.

If your FAX machine does not have a telephone receiver that allows you to enter your account information as normally required through the main dictation number, print out the coversheet to add to the front of your FAX that has your account number prominently written on it. Please do not put any other material or instructions on this first page - only the account number. Then, FAX your work to be transcribed with this new cover sheet as the first page of the FAX to (866) 835-9882.

Be sure to use no other telephone number to send in this type work, and be sure to only send it with the proper cover sheet, so that your job will be properly opened and transcribed.

And please remember:

  • You must FAX in your jobs on letter-size paper ONLY, no legal size
  • Be certain that all of the text you want input is sufficiently far from the margins that we will be able to read it once received as a FAX
  • When Faxing in especially long jobs, you should consider Faxing them in smaller parts as separate jobs. This allows several different typists to work on the smaller parts simultaneously, with a quicker turn-around time for you, and you can assemble the parts into a single, long document again once you receive your drafts.

Submitting your work by FAX to be Transcribed

If you have a telephone receiver on your FAX machine and you can call out from this line, all you need to do in order to enter a FAX into the SpeakWrite system is the following:

  1. Dial the toll-free dictation number [800 YOUDICTATE (968 3428)] from your FAX machine as if you were going to dictate from that line
  2. When prompted, enter your account number and PIN number, then press 1 when prompted, and you will be given a job number for this job. Press 2 to indicate that you do not want to hear the job number again
  3. The recording will then say, "If you would like to immediately begin dictation, press 1. If you would like to send a FAX, press 2." Press 2 to indicate that you are sending a FAX
  4. Wait for the fax tone and press "SEND" on your FAX machine to send the job for transcription. The FAX will be automatically submitted for transcription when the transmission is done
  5. You must FAX in your jobs on letter-size paper ONLY, no legal size
