Member Services | Upon opening a SpeakWrite account, each client receives access to their own Personal Member Page which is accessible through our member login section on this website. On this page, you may: - Store and reference templates or "forms" of documents you commonly use
- Store and incorporate entries from your on-line address book
- Use billing codes for separate client or "matter" billing
- Track any job you have in process
- Resend the transcription of any job completed in the prior 2 weeks
| TemplatesAs a part of your SpeakWrite account, you can easily store as many of your personal "forms" or templates on the SpeakWrite computer as you wish, then later incorporate them into your draft documents by reference. There are several ways in which to store such templates, depending on your document's current format. a) If your "form" or template document is a word processing file, you can add it to your stored templates from your computer by following the instructions at "To add a Template" accessed at "Member Login" of our Website. Or you can send the document as an email attachment to support@speak-write.com, specifying in your email message the name under which you want it stored (such as "commercial lease"), as well as the account number or numbers to which this template should be applied. We will add the template into the system for you and send you a confirmation once this is done. You will need to wait until you receive the confirmation indicating that this attachment has been saved as a template before dictating a job that requires the use of this template. b) If your "form" or template document is in hard copy, you can fax this into the SpeakWrite system as a regular Job, the typist will transcribe it and return it to you via email for your approval, then you can follow the procedure in a) above to add it as one of your templates. c) If you would like to compose a new document to be stored as a template, simply dictate into the SpeakWrite system as a regular Job, the typist will transcribe it and return it to you via email for your approval, then you can follow the procedure in a) above to add it as one of your templates. Once a template is added to your records, you may refer to it in any later Job, and the SpeakWrite typists and proofreaders will have access to it to incorporate into your work, in whole or in part, according to your directions. (Note: Because of formatting problems associated with them, we cannot use templates set up with a numbered 'pleading paper' format.) | | Itemized Client Billing CodesYou may set your account such that each transcription job can be identified with your billing code number, so that at the end of each billing period you will receive an itemized bill listing the jobs you have done, broken down by your designated client or matter number. To do this: - Go onto your Personal Member Page on the SpeakWrite Website
- Go to the area marked "Billing Codes Section", and place a check in the box marked "Use Billing Codes"
- In the space provided, enter as many Billing Codes as you want, along with a reference Description that will enable you to easily identify these, clicking on "Enter New Billing Code" after each. These will then be stored in your account and maintained for your future reference. (You may add to these whenever you want)
- Each time you call in to dictate, you will be asked, just after entering your account number and PIN number, which Billing Code you want used, and you will enter it with your telephone keypad.
Then, at your next billing, you will receive an email notification listing your jobs for that billing period, the charges for each and each job's Billing Code. (To disable the service, simply go to your Personal Page, uncheck the specified box, and your account summary will come without billing codes and you will not be prompted for such when calling in to dictate.)
| | Retrieving and Re-sending Completed Jobs Once you have received a completed Job from us, it is kept on file in our completed file records for a period of two weeks, then automatically deleted from our computer. This is so you can access and have the Job re-sent to you during that period, should you lose or misplace the transcription first delivered to you, or in case you need the Job re-sent for any other reason. A SpeakWrite account holder may now access and retrieve any of these completed Jobs and have them re-sent at any time via their Personal Page on the SpeakWrite Website. To retrieve and re-send one of your previously completed Jobs to your email, simply go to our Website (www.speak-write.com/login), "Log in", then click on "Job Status". Your completed documents that are still on the system will now appear as links under the "Job Number" column of that Job Status chart. Just click on the link you want re-sent, and the Job will be immediately and automatically re-sent to you via email. You may do this as often as you wish, at no charge, while the Job remains on the system. |
